For business owners, an invoice is the basis for booking business expenses and settling VAT. Clear invoices make bookkeeping easier.
What does this mean in practice?
An invoice includes the details of the seller and buyer, an invoice number and date, a description of what you're supplying, the amounts excluding VAT, the VAT rate, the VAT amount and the total. Your Chamber of Commerce (KvK) number and VAT number belong on it too.
Why does this matter for your business?
Without a proper invoice, you can't properly account for expenses or reclaim VAT. Clear invoices that arrive on time build trust. And they make your accountant's job easier.
Examples and best practices
- Check your customer's company details before you invoice.
- Give each invoice a unique, sequential number.
- Send invoices for subscriptions on a fixed schedule.
- Keep your invoices safe; you need to be able to produce them for years.
